Case study shortlist: interview questions from closed-won customers
This recipe uses the official HubSpot, Gong and Notion MCP servers, and all of them work in Claude and ChatGPT. Steps that write, send or spend credits wait for your approval.
Who is this for?
Marketers who want a shortlist of closed-won customers for case study interviews, plus the outcomes Gong reports and a page of questions. This is for marketing content. The reference-match recipe finds a customer who looks like one prospect, for a rep to take to the account owner. This one starts from customers you already won and stops at interview questions. HubSpot can be swapped for Salesforce, Gong for Fireflies or Granola, and Notion for Airtable if the shortlist should live in a base.
What do you get?
Shortlist and interview questions, page not created yet. Sample output: every company and person in it is fictional.
Closed won in HubSpot, Jul 1 to Sep 30: 11 deals, 9 companies. Suggested for Gong, after you confirm: 4 companies. That is 4 ask_account calls. generate_brief is not included.
| Company | Owner | Closed won | Amount | Gong summary (not a quote) | On the shortlist? |
|---|---|---|---|---|---|
| Larkspur Freightworks (fictional) | Priya Raman | Aug 14 | $46K | The ops lead said they hear about a late load before the customer calls. Gong named the Aug 2 call. No percentage. | Yes |
| Mossgate Labs (fictional) | Sam Whitlock | Sep 3 | $28K | Gong could not tie a result to a call. | No. Listed under no outcome found. |
| Quarry Lane Analytics (fictional) | Dana Okafor | Jul 22 | $61K | The security lead said the review finished in one cycle. Gong named the Jul 9 call. No day count. | Yes |
| Fernhill Software (fictional) | Alex Rivera | Sep 18 | $19K | Left off the suggested list. Amount is under the $20K line you set. | Not sent to Gong |
No outcome found: Mossgate Labs. Private calls are excluded, so a missing answer is not proof of a bad result. Interview questions for Larkspur Freightworks (fictional), for you to ask. Not an email to the owner. 1. What did a late-load report look like before this? 2. Who on the team sees the alert on a normal morning? 3. Which part of that story are you willing to put in a case study, and which number should we leave out? Page draft (not created yet): 'Case study shortlist: Q3' Not a reference ask. No prospect. No note to the account owner. Nothing was created in Notion. No one was contacted.
How long does it take, and what does it cost?
Estimate About 30–45 minutes, most of it checking Gong's summaries and the questions.
Assumptions: One quarter, about four companies you approve for Gong, and one Notion page.
- HubSpot: Reads only: one search for deals closed won in the period, with company, amount, close date and owner. No records created or edited. Credit use not confirmed by HubSpot.
- Gong: One ask_account call per company you approve, about four. Each call uses Gong credits based on the volume of calls and emails analyzed. No generate_brief call unless you approve one on its own. Read only. Every call uses credits. All three tools (ask_account, ask_deal, generate_brief) consume Gong credits based on the volume of calls and emails analyzed; briefs cost more per open-ended section. Same consumption as the equivalent API requests. Source: help.gong.io, checked 2026-10-16
- Notion: One page created after you approve the shortlist. Nothing else is created, updated, moved or trashed. Credit use not confirmed by Notion.
Exact credit costs depend on your plan with each vendor. Check the tool pages before a large run.

How do I set it up in a chat app?
Every server in this recipe is confirmed for Claude and ChatGPT. Connect each one, then paste the prompts below into one conversation.
- Connect HubSpot without code (Claude, ChatGPT)
- Connect Gong without code (Claude, ChatGPT)
- Connect Notion without code (Claude, ChatGPT)
Developer setup
Auth setup and mcp.json for Claude Code and Cursor
- HubSpot: Sign in with OAuth in your client (run
/mcpin Claude Code). Do it once interactively, and the client stores and refreshes the token. - Gong: Sign in with OAuth in your client (run
/mcpin Claude Code). Do it once interactively, and the client stores and refreshes the token. - Notion: Sign in with OAuth in your client (run
/mcpin Claude Code). Do it once interactively, and the client stores and refreshes the token.
Put this in .mcp.json (Claude Code, project root) or ~/.cursor/mcp.json (Cursor). Swap the example keys for your own, and don't commit real ones. Remove the // comment lines if your client requires strict JSON.

Step-by-step prompts
- Find HubSpot deals closed won between {start_date} and {end_date}. Show a table with company, deal name, amount, close date and owner. Group the rows by company and give me the deal total and the company total. Don't change any records.
- From that table, suggest up to {n} companies for a case study. Prefer different owners, and skip deals under {min_amount}. One company is one Gong ask_account call, which uses Gong credits. Show the list and the call count, and wait for me to confirm it. Don't call Gong yet.
- After I approve the list, use Gong ask_account once per company. Ask what outcomes and results the customer mentioned, which calls those came from, and what Gong could not find. Label each answer as a summary, not a quote. If ask_account cannot find the account, stop on that company and say so. Don't call ask_deal or generate_brief unless I approve that call on its own.
- Draft a shortlist here: company, owner, the outcome in Gong's words, and three interview questions that ask the customer to confirm that outcome. Leave out anyone Gong could not tie to a result. These questions are for a case study interview. Don't draft a note to the account owner, and don't contact anyone.
- Show me the full page, titled {page_title}. After I approve it, create that page in Notion under {parent_page}. Don't change any other page.
Can I run it on a schedule? (optional)
- Run it by hand when you are choosing the next case study, after the quarter's deals have closed in HubSpot.
- Each Gong call uses credits. Don't schedule the Gong step. Confirm the company list first, and finish one shortlist before you start another.
- A rep can't connect Gong or HubSpot alone. A Gong tech admin has to create the MCP integration, and a HubSpot Super Admin has to approve the connector. Do one manual run before you rely on it.
Where does this go wrong?
- A Gong summary pasted in as a customer quote. No raw transcripts are returned. Label every outcome as Gong's summary. Before any line is quoted in a case study, open the call in Gong and copy the words yourself. Drop any number the summary did not state.
- A customer with no usable outcome treated as a win story. Private calls are excluded, and some accounts have no recorded calls. If ask_account cannot tie an outcome to a call, or the account name does not match the HubSpot company, leave that customer off the shortlist and list them under no outcome found.
- A Gong call for every closed-won deal. Count companies, not deals. Two wins at one company are one ask_account call. Show the company list and the call count before any Gong call. Briefs cost more per open-ended section, so generate_brief stays out unless you approve that call on its own.
- A closed-won list that is only the deals you can see. The connector follows each user's HubSpot permissions. Compare the total to a HubSpot report for the same dates before any company goes to Gong. A short list may be a permissions gap.
Gotchas
- This is not the reference-match recipe. That one finds a reference customer for a rep's prospect and drafts a note to the account owner. This one is a marketing shortlist. It does not pick a prospect, and it does not draft that note.
- Gong is read-only. No raw transcripts are returned, and private calls are excluded. The outcomes are Gong's summaries. To quote a customer, open the call in Gong yourself.
- Gong has three tools: ask_account, ask_deal and generate_brief. This recipe uses ask_account, which is account Q&A. Each call uses Gong credits based on the volume of calls and emails analyzed. Briefs cost more per open-ended section, so generate_brief stays out unless you approve it on its own.
- A rep can't connect Gong alone. A Gong tech admin must first create an MCP server integration under Admin center > Settings > Ecosystem > MCP. The authorization context, personal or shared, is fixed at creation. A paid Gong seat is required, and Gong credits are needed.
- A rep can't connect HubSpot alone. Non-admin users need a Super Admin to approve the connector first. The connector follows each user's HubSpot permissions.
- Notion's help center names ChatGPT Pro as the supported ChatGPT tier. Notion creates and updates pages, and it moves, duplicates and trashes pages and databases. This recipe creates one page after you approve it.
- Using Salesforce instead? Closed-won deals come from a SOQL query. Salesforce needs Enterprise Edition or above (Developer Edition also works) and an admin-created External Client App. Every tool call counts against the org's daily Salesforce API request quota. ChatGPT requires developer mode.
- Fireflies or Granola instead of Gong? Fireflies can do transcript search and retrieval, so you can work from the transcript rather than a summary. Fireflies' search and fetch tools are marked experimental, and in ChatGPT it is used through Deep Research. Granola can read meeting transcripts and is read-only. Neither tool is ask_account. You search meetings, and you name the meetings yourself.
